Job Description

As part of the Student Recruitment and Retention Center, the Administrative Assistant serves as support for the logistics, data, and tracking of programs of the SRRC. The Administrative Assistant will complete duties such as: tracking program proposal materials and submissions; taking and publishing copies of meeting minutes; archiving records and documents, and performing office management tasks.

The Administrative Assistant is responsible for processing business documents, and tracking and auditing expenditures. Individuals will gather current data from funding proposals. Individuals will also be required to support the overall functions of the SRRC.

Responsibilities:

 

  • Handling office tasks, such as filing, generating reports, setting up for events, etc.
  • Providing scheduling support for SRRC operations
  • Updating paperwork, maintaining documents, and word processing
  • Performing general office duties and errands
  • Creating, maintaining, and entering information into databases
  • Help maintain the daily functions of the SRRC
  • Preparing documents and reports for meetings
  • Do anything else that plays to your strengths!


Additional Requirements & Qualifications:

 

  • One year of experience working or volunteering in the Student Recruitment and Retention Center (SRRC) is preferred

Job Description

The Brand and Promotions Designer and Marketing Communications Coordinator are responsible for the creation and update of the SRRC’s publications and promotional materials. The Brand Design and Marketing Team serve as the main contact for all SRRC graphic and promotions design requests. Both positions are responsible for the design and production of promotional materials that incorporate design concepts, appropriate graphics, typestyles, format, and colors to promote all the unique programs, services, and events hosted by SRRC. The overall purpose of this team is to design materials that promote and reflect the mission of the SRRC by utilizing marketing strategies, staying on top of design trends, software, and technology, and being cognizant of community programs to effectively convey cultural components. 

There are two positions available: Brand and Promotions Designer and Marketing Communications Coordinator.

Please indicate which position you are applying for. You can apply for both. These positions work collaboratively but the Brand and Promotions Designer focuses more on large scale design projects and graphics production while the Marketing Communications Coordinator puts more attention on social media and outreach.

Brand and Promotions Designer

Responsibilities specific for the Brand and Promotions Designer include: 

  • Design print and web collateral material to promote the center and it’s 7 community programs
  • Utilize knowledge and experience with typography, layout, message hierarchy, color, etc. to design for the SRRC and its 7 community programs
  • Hold consultation meetings to develop visual identities for large scale conferences and retreats year-round (fall to spring quarter)
  • Adhere to UC Davis and SRRC specific branding guidelines
  • Strong prioritization and organization skills to manage, review, and fulfill graphic/promotion design requests
  • File management and archive ability on Google Workspace - allow easy access to conference/retreat designs/files, update collateral for the center, accessibility to design packets, etc. 
  • Highly proficient with Adobe Creative Suite (using Canva is strongly discouraged) 
  • Ability to conceptualize and select designs appropriate to the SRRC’s communities
  • Produce original designs that can be scaled for printing: shirts, hats, stickers/sticker sheets, name badges, brochures, etc.
  • Ensure community program leaders and vendors have necessary files to print accurately: access, assets, specs, proofing support, etc. 
  • Effectively handle and manage at least 5 design intense projects at once and meet necessary deadlines
  • Attend Recruitment/Retention committee meetings quarterly to discuss design needs (more details/direction will be provided throughout the quarters) 


 

Marketing Communications Coordinator

Responsibilities specific for the Marketing Communications Coordinator include: 

  • Manage all SRRC social channels - must be social media savvy 
  • Organize marketing efforts and design deliverables for one-time events, raffles, takeovers, etc.
  • Collect data/analytics per week on social media performance; compile all data every month for comprehensive analysis
  • Adhere to UC Davis and SRRC specific branding guidelines
  • Maintain and update the SRRC website
  • Photography, experience with cameras and photo styling/editing a plus
  • Video editing skills a plus - ability to create Reels, recap videos, promotional videos, engaging video stories, etc. 
  • Proactively communicate with community program leaders to get retreat/conference images and/or videos to create a recap video or post to upload on the SRRC main social media channels
  • Document large scale SRRC events (open house, information night, community program one-time events, etc.) by taking pictures and videos
  • Attend Admin committee meetings to support collaborative marketing campaigns (more details/direction will be provided throughout the quarters) 


 

Requirements and Qualifications for both positions:

  • Willingness to work a flexible schedule to meet deadlines for simultaneous projects 
  • Copywriting knowledge and experience a plus
  • Knowledge of Mac platform a plus
  • Knowledge of marketing strategies a plus
  • Ability to work under short deadlines and produce work quickly (at times you will have a week or more to produce work, while at others you will have one day)
  • Ability to elicit and understand others' ideas for publication purposes, and to complete work by following these ideas and goals

 The Campus Visits Experience Coordinators will be responsible for providing a student perspective of the unique college experience through a campus tour and student panels to K-12 students who participate in SRRC Campus Visits.
 

Campus Visits Experience Coordinators will be responsible for:
 

  • Working closely with the Community Advisor for Recruitment and the other Campus Visits Coordinator to: Establish guidelines for the visits; Seek support and resources; Analyze and organize collected data
  • Being the main contact for Campus Visits requests (maintaining consistent communication/correspondence with requestors)
  • Coordinating and communicating each Campus Visit event logistics
  • Creating a comprehensive agenda per group request
  • Developing and implementing virtual programming that can expose students to visiting opportunities from many locations
  • Lead in selecting and training Campus Visits volunteers
  • Coordinating and communicating with the Admin Committee about intern & volunteer training and educational opportunities
  • Creating a comprehensive training, development & appreciation plan for interns & volunteers
  • Collaborating with other SRRC outreach coordinators to offer Campus Visits for their outreach participants or youth leadership conference participants
